| | Q: Do I need to upgrade my computer in order to use outloook with AUB-exchnage? | |
| | A: Probably not. If your PC runs Microsoft Office 2003 or 2007, it will run Outlook (which is already installed in those software suites). Even if you have an old PC that wont run these versions of Office, if it has a working web browser you should be able to use Outlook Web Access to work with your email and calendar.
The minimum technical requirements for a PC to run Outlook are: 256MB of RAM, 1GB of free hard disk space, an Intel Pentium processor (1GHz or faster, Pentium III recommended), and Windows 2000, XP, 2003 or Vista.

| | Q: How can I quickly see a shared calendar? | |
| | A: If a colleague has given you permission to see their calendar, make a note of their userID or alias. (You can look this up by searching for their name in the Global Address List, using Outlook and selecting Tools -> Address Book). Use OWA to go to http://owa.aub.edu.lb/USERNAME/calendar where USERNAME is their AUBnet userID. Log into OWA with your own AUBnet userID and password. This opens your colleague´s calendar.

| | A: Select Tools -> Address Book. Then click on Tools -> Options. Click on the drop down menu for "Show this address list first:" Then select your choice, such as Contacts. Click OK. In the Address book window, click File -> Close.

| | A: Go to the Start menu and open the Control Panel. Double click on Regional and Language Options. Click Customize, and then choose the Date tab. Type dddd dd MMMM yyyy under long date format, then click Apply.

| | A: Open Calendar -> View -> Arrange by -> Categories -> Select appointments. Drag and drop the selected appointments into your destination Calendar.

| | A: Open the Contacts view. Right click over your contacts folder (listed under My Contacts on the left of the screen). Select Properties. Choose the Outlook Address Book tab and make sure there is a tick next to show this as an email Address Book.

| | A: When you log into OWA you are offered a choice of Private or Public computer. Select Private computer and the session will not expire after thirty minutes.

| | Q: Should I enable the use of S/MIME Control for added security? | |
| | A: In OWA under Options -> Email Security is an option to download the latest version of S/MIME control. This is only of use to organizations that are not already encrypting their OWA session. The University of Exeter OWA servers operate over a secure HTTPS connection, so there is nothing to be gained by using the S/MIME control. We recommend that you do not download it.

| | Q: The Suggest Names feature in the To: box does not work. | |
| | A: Make sure that the option is set in Tools -> Options -> Preferences -> Email options -> Advanced Email options. Enable the option that says "Suggest names when completing To, Cc, and Bcc fields".
On rare occasions, the Suggest Names feature does not work because of a local nickname cache file corruption. If you are using Outlook 2003 repair this problem by exiting Outlook 2003, then open My Documents and paste %APPDATA%\Microsoft\Outlook into the Address window. Delete the file called Outlook.NK2 and restart Outlook 2003..

| | A: Until you have created your first Calendar appointment or accepted an invitation, your Outlook will not have sent an update to Exchange summarizing your free/busy information. About thirty minutes after you create or accept your first appointment, your free/busy information will be propagated so that all other users can see when you are available.

| | A: Yes the limits will be quite high, but we still recommend tidying your email folders regularly to avoid storing data you no longer need.
Exchange applies a series of levels to the amount of email data stored in your account:
1.when you reach this level you get an email warning that youre approaching the maximum;
2.above this level you cant send email until you delete some old messages;
3.The absolute maximum you cant send or receive email until you delete some old messages.
